The Tent Party Co. – Bell Tent & Teepee Hire

These Terms & Conditions outline the agreement between The Tent Party Co. (“we”, “us”, “our”) and the customer (“you”, “your”) for the hire of our bell tents, teepees, equipment, and accessories. By booking with us, you agree to the following terms.

A booking is only confirmed once a deposit has been received and you have accepted these Terms & Conditions.

A non‑refundable deposit (amount specified at booking) is required to secure your date.

The remaining balance must be paid no later than 7 days before your event. If payment is not received, we reserve the right to cancel the booking.

A refundable security deposit may be required. This will be returned within 5 working days after collection, provided no damage or loss has occurred.

All bell tent and teepee hires are for a 24‑hour period, unless otherwise agreed in writing.

We will arrange delivery and collection times with you in advance. You must ensure access is available at the agreed times.

If we are unable to access the site at the agreed time, additional charges may apply.

You are responsible for ensuring the site is suitable for installation:

• Flat, level ground
• Sufficient space for the tent size booked
• Safe access for our team
• Free from hazards (animal waste, sharp objects, overhanging branches, etc.)

Keeping your celebration safe, magical, and stress‑free

At The Tent Party Co., your safety — and the safety of your guests — always comes first. While our bell tents are designed to handle typical British weather, there are certain conditions where setup or continued use may not be safe. We will always communicate clearly and work with you to find the best solution.

High‑quality canvas bell tents are impressively sturdy and can typically withstand wind speeds of 30–35 mph when pitched correctly on suitable ground. Their rounded shape helps them shed wind effectively, but like any temporary structure, there are limits.

If winds are forecast to reach 40 mph or above, it becomes unsafe to erect or continue using a bell tent. In these conditions, we may:

• Delay or pause setup
• Ask to temporarily suspend your event while we carry out a fresh risk assessment
• Decide not to pitch the tent if conditions cannot be made safe

Your safety is our priority, and we will never take unnecessary risks.

If the weather changes unexpectedly during setup, we may ask to pause or temporarily suspend the setup while we reassess conditions.
If conditions become unsafe during your hire period, we will contact you immediately to discuss the safest next steps.

Canvas bell tents are naturally highly waterproof and perform extremely well in heavy rainfall. When pitched correctly, they provide excellent protection and comfort, even during prolonged wet weather.

Over time, canvas may require reproofing to maintain its waterproof performance — this is a normal part of caring for natural canvas and something we manage as part of our maintenance routine.

If We Cannot Set Up

If weather conditions prevent us from setting up safely:

• We will talk through alternative options with you
• We may offer to reschedule where possible
• If no safe alternative is available, we will follow our standard cancellation or rescheduling policy

We will always keep you informed and work with you to find the best possible solution.

Teepees must be set up indoors in a clean, safe space with adequate room.

Children must be supervised at all times. Our tents and equipment are not toys.

• Teepees are made from fire‑proof certified fabric
• Bell tents are fire‑retardant and installed with fire‑retardant flooring
• No naked flames, candles, fire pits, BBQs, or smoking are permitted inside or near the tents
• Heaters, stoves, or electrical appliances must not be used inside the tents unless supplied or approved by us

You are responsible for all hired items during the hire period. Charges apply for:

• Damage
• Loss
• Excessive dirt or staining
• Misuse of equipment

Pets must be kept away from all tents, bedding, and equipment.

The following are strictly prohibited inside or near the tents:

• Smoking or vaping
• Open flames
• Climbing on furniture or teepees
• Rough play that may damage equipment
• Food or drink on bedding (unless agreed)

Only decorations supplied or approved by us may be used. Adhesives, tape, or pins must not be applied to tents or equipment.

• Deposits are non‑refundable
• Cancellations within 7 days of the event are subject to full payment
• We may allow date changes subject to availability

We reserve the right to cancel if:

• The site is unsafe
• Weather conditions make setup dangerous
• Payment has not been received
• You breach these Terms & Conditions

If we cancel for reasons within our control, you will receive a full refund.

You are responsible for the safety and behaviour of all guests, especially children.

We accept no liability for:

• Injury caused by misuse of equipment
• Loss or damage to personal property
• Events outside our control (weather, access issues, etc.)

We will always act with care, professionalism, and safety as our priority.

With your permission, we may take photographs of the setup for use on our website and social media. No images of children will ever be used without explicit written consent.

Any personal information you provide is used solely for managing your booking and will never be shared with third parties.

By booking with The Tent Party Co., you confirm that:

• You have read and understood these Terms & Conditions
• You accept responsibility for the equipment during the hire period
• You agree to follow all safety guidelines provided
